Overview
MeetNote (“we”, “our”, “us”) provides a mobile application that records meetings, transcribes audio, and generates AI summaries and action items. This Privacy Policy describes what information we collect, how we use it, and the choices you have.
What we collect
- Account data. Email address, display name, password (hashed), authentication tokens.
- Content you create. Meeting recordings, transcripts, notes, summaries, action items, folders, tags, and any images you attach.
- Usage data. Basic information about how you use the app, such as feature interactions and crash reports.
- Device data. Device model, operating system version, language, and a device identifier used for sync and security.
- Calendar data. If you choose to connect Google, Outlook, or Apple Calendar, we receive event metadata necessary to link notes to meetings. We do not read your inbox or other calendar contents beyond what’s required.
How we use data
- Provide the core service: recording, transcription, summarisation, action items, calendar linking, task assignment.
- Sync your data across your devices.
- Improve the product through aggregated, non-identifying analytics.
- Communicate with you about updates, beta builds, and support.
We do not sell your personal data, and we do not use your meeting content to train third-party AI models without your explicit consent.
Recordings and transcripts
Recordings are stored locally on your device by default. On-device transcription runs without leaving your phone wherever the device supports it.
When AI summarisation is invoked, the relevant transcript is sent over an encrypted connection to our processing service. Our service may, in turn, route the request through a third-party model provider (see “Third-party services” below). The transcript is processed for the sole purpose of generating your summary and is not retained beyond the request lifecycle except where minimum retention is required for safety, debugging, or legal compliance.
Third-party services
To deliver the service we use a small number of vendors, including but not limited to:
- Cloud hosting providers for storage and compute.
- AI model providers for summarisation and action-item extraction.
- Email delivery for transactional notifications and waitlist updates.
- Calendar APIs (Google, Microsoft, Apple) when you choose to connect them.

Storage and security
We use industry-standard practices to protect your data, including encryption in transit (TLS), encryption at rest where supported, access controls, and audit logging. No system is perfectly secure; if we ever experience a breach affecting your data, we will notify affected users without undue delay and as required by applicable law.
Your rights
Depending on where you live, you may have rights to access, correct, export, or delete the personal data we hold about you. You can exercise most of these rights from inside the app’s Settings, or by contacting us at the address below. We will respond within the timeframe required by applicable law.
Children’s privacy
MeetNote is not directed to children under 13 (or the equivalent minimum age in your jurisdiction), and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact us so we can delete it.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page reflects the latest revision. Material changes will be communicated through the app or by email.
